Terms and Conditions – Istok Retreat Festival

These Terms and Conditions (“Terms”) apply to all visitors, participants, traders, and stallholders of the Istok Retreat Festival (“the Festival”). The Festival is organised and managed by Istok Retreat Festival CIC, a Community Interest Company registered in England and Wales (“the Organisers”). By using this website or attending the Festival, you agree to comply with these Terms.
1. Tickets and Admission
Tickets must be purchased through our official website [www.istokretreatfestival.co.uk] or authorised outlets.
All ticket sales are final. Refunds are only available if the Festival is cancelled by the Organisers or required by law.
Tickets must not be resold above face value or used for promotions without prior written consent.
Entry is only valid with a wristband, which must be worn at all times. Lost or damaged wristbands cannot be replaced.
The Organisers reserve the right to refuse entry or remove any person acting in a disruptive, unsafe, or unlawful manner.
2. Age Policy
Children under 16 must be accompanied by a responsible adult.
Certain workshops or activities may have age restrictions, which will be stated in advance.
3. Accommodation and Camping
Standard tickets include access to designated camping areas.
Furnished bell tents, yurts, and other upgraded accommodation must be booked separately and are subject to availability.
Attendees are responsible for their own equipment and belongings. The Organisers accept no liability for loss, theft, or damage.
Fires, barbecues, and stoves are only permitted in designated areas.
4. Activities and Workshops
Some activities and wellness sessions (such as sauna, massage, or water sports) require separate booking or additional payment.
Participation is voluntary and at your own risk. Facilitators’ safety instructions must be followed at all times.
The Organisers may amend or cancel activities for safety or operational reasons.
5. Conduct and Safety
The Festival is a family-friendly, alcohol-free event. Alcohol, illegal substances, and aggressive behaviour are prohibited.
Weapons, fireworks, glass bottles, and hazardous items are not allowed on site.
Anti-social, abusive, or discriminatory behaviour will not be tolerated and may result in removal without refund.
Attendees must respect the land, facilities, and community by disposing of waste responsibly and recycling where possible.
6. Traders and Stallholders
All traders and stallholders must apply in advance and agree to the separate Stallholder Agreement.
Proof of insurance, licences, and compliance with health and safety regulations is required.
The Organisers are not responsible for transactions between traders and attendees.
7. Health and Medical Care
Qualified first aid staff will be available on site.
Attendees must bring personal medication and inform facilitators of relevant health conditions.
In emergencies, all attendees must follow the instructions of Festival staff and security.
8. Accessibility
The Organisers aim to make the Festival as accessible as possible.
Attendees with accessibility requirements should contact info@istokretreatfestival.co.uk in advance.
9. Photography and Media
By attending, you consent to being photographed, filmed, or recorded for promotional use.
If you do not wish to appear in promotional media, please inform staff on arrival.
Commercial photography or filming requires prior written permission from the Organisers.
10. Liability
Attendance and participation are at your own risk.
The Organisers are not liable for personal injury, loss, theft, or property damage, except where caused by negligence.
Nothing in these Terms excludes liability for death or personal injury resulting from negligence.
11. Programme and Line-Up
The Organisers may change the line-up, schedule, or facilities without prior notice.
Such changes do not entitle ticket holders to refunds.
12. Cancellation and Force Majeure
If the Festival is cancelled, ticket holders will be notified and refunds provided in line with the Refund Policy.
The Organisers are not responsible for cancellations or changes due to events beyond their control, including extreme weather, government restrictions, or public health emergencies.
13. Website Use
The Festival website is for general information only and may be updated without notice.
Website content may not be copied, reproduced, or distributed without written consent.
The Organisers do not guarantee uninterrupted access to the website and are not liable for technical issues outside their control.
14. Data Protection and Privacy
Personal data will be handled in accordance with the Festival’s Privacy Policy.
Personal data will never be sold to third parties and will only be shared where required by law.
15. Governing Law
These Terms are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
